AI agents or classic automation: how to choose

The two solve different problems. Classic automation follows a rule on structured data. An AI agent reads unclear text and prepares a draft. Most businesses need both, and the line runs where risk begins.

What classic automation does

Classic automation works by a rule: if this has happened, do that. It suits best when the data is in order: a field in a table, a row in a database, a deadline date. For example: when an order is confirmed, a document is created; when a deadline approaches, a reminder is sent; every evening two spreadsheets are compared and only the differences are shown.

Its strength is predictability. It does the same thing every time and does not guess. Its weakness is that it does not understand text. If the message is written freely, or is a photo or a PDF that looks different every time, the rule has nothing to hold on to.

What an AI agent does

An AI agent is a program that reads, compares and writes drafts by the rules we give it. It understands free text: an email, a message, a PDF, a photo of a document. That makes it useful where the work starts with unstructured information, for example an order that arrives as a photo in a chat, or a price list that every supplier sends in a different format.

The agent is not a chat window that sits next to the process but a part of it. It works with your documents, by written rules, and leaves a log of every action it takes.

When to choose which

Often the best solution is a combination. The agent turns the unclear into an orderly draft, and plain automation does the orderly work from there on. That way the agent is used only where it is really needed, and everything else stays predictable.

Why a person is always at the end

AI makes mistakes. That is why our scheme is always the same: draft, person, action. The agent does not pay, sign, send to a client or settle disputes on its own. It does not guess missing data: anything unclear or contradictory goes to a person, flagged.

This is not a limit of the technology but the way to use it responsibly. The person is not a formality: they see what is prepared, what is missing and what the draft is based on, and then approve or correct it.

How we choose at your place

We ask three things: is the data at the input in order, is there a clear rule and what does one mistake cost. If the answers point to plain automation, we will tell you to choose it: it is simpler and more predictable.

Before we start, we settle one more question: which data enters the process and where it is processed. The answer depends on your documents and requirements, and we put it in the offer.
